The White Mountain Board of REALTORS^® ("WMBR," "we," "us," or "our") respects your privacy. This policy explains what personal information we collect, how we use it, and the choices you have. It applies to our website at whitemountainboard.com, our member management system, and services we provide to members, applicants, affiliates, and the public.

Information We Collect

Information you provide

When you apply for membership, register for an event, submit a form, or contact us, we collect information such as your name, mailing address, email, telephone number, real estate license details, NRDS ID, employer or brokerage, photo, and payment information. We also collect any other information you choose to share.

Information collected automatically

When you visit our website, our hosting providers automatically log technical information such as your IP address, browser type, pages viewed, and referring URL. We use short-lived authentication cookies to keep you logged in; we do not use advertising or cross-site tracking cookies.

How We Use Your Information

To process and maintain your membership, dues, and event registrations
To communicate about meetings, continuing education, and board business
To report required membership data to the National Association of REALTORS^® (NAR) and the New Hampshire Association of REALTORS^® (NHAR)
To deliver services, handle complaints and professional-standards matters, and comply with our bylaws
To meet tax, accounting, and legal obligations
To operate, secure, and improve our website and systems

How We Share Your Information

We share personal information only as needed to operate the association and only with providers that are bound by appropriate confidentiality and security obligations. These include:

NAR and NHAR — for membership reporting, compliance, and professional standards
Stripe — to process dues, event fees, and sponsor payments
Supabase and Cloudflare — to host our website, database, and files
Mailgun — to deliver transactional email and announcements
Intuit / QuickBooks Online — for accounting and financial records
Professional advisors (attorneys, auditors) when necessary

We do not sell your personal information. We may disclose information when required by law, court order, or to protect the rights, property, or safety of WMBR, our members, or others.

Public Directories

REALTOR^® and affiliate members appear in our public directory with contact information consistent with NAR and NHAR practice (name, brokerage or firm, office address, telephone, email, website, and photo where provided). If you prefer certain fields be withheld, contact us.

Your Choices and Rights

You may request access to, correction of, or deletion of the personal information we hold about you. Some information must be retained for as long as you are a member and for a reasonable period afterward to meet NAR, NHAR, tax, and other legal requirements. To make a request, email info@whitemountainboard.com.

Data Security

We use reasonable administrative, technical, and physical safeguards to protect personal information, including encrypted connections (HTTPS), authenticated access to member data, and limited staff access. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Retention

We keep personal information for as long as your membership is active and for a reasonable period afterward. Financial records are retained per applicable tax and accounting requirements. Event registration records are retained for reporting and reconciliation purposes.

Children's Privacy

Our services are directed to real estate professionals and the public seeking their services. We do not knowingly collect information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it.

Changes to This Policy

We may update this policy from time to time. The "Last updated" date above reflects the current version. Material changes will be announced through the website or by email where appropriate.
